Housing Reservations

TASA/TCWSE have reserved blocks of rooms at the hotels listed below for the 2026 TASA Midwinter Conference and the 2026 TCWSE Annual Conference. Reservations in these room blocks may be made until the blocks fill. Do not contact the hotels directly for reservations in the room block. All reservations must be guaranteed via credit card with one night’s deposit plus tax.

Important Note on Booking from CHM (10/08/25)
Rooms are still available but may not be for all nights of your intended stay. Currently, only January 25–27 are open for booking. We strongly recommend reserving those available nights now. Once your reservation is complete, you may submit a waitlist request for any additional nights needed. While we cannot guarantee when additional rooms will become available, rest assured that we are monitoring requests closely and will confirm your full stay if you remain on the list. Exhibitor Housing

All companies exhibiting at the TASA Midwinter Conference are eligible to reserve hotel rooms within the conference room blocks. Exhibitors should reserve rooms in the block via the attendee housing reservation link.

Rooming List Cut-Off

Attendee names had to be submitted by November 28, 2025. Any unassigned rooms remaining after this date will be released to the general inventory. Room blocks listed under a single name will not be accepted. Guests will be permitted to check in ONLY if their name is listed on the reservation. All reservations must be under the actual attendee’s name.

Modifications/Cancellations

The last day to modify or cancel reservations through the housing reservation link was December 5, 2025. Convention Housing Management (CHM) no longer has access to any reservations, so you must contact your confirmed hotel directly for any changes.

Please note: December 5, 2025, was the final day to cancel without a $50 processing fee. Any cancellations made after that date will incur a $50 fee, which will be automatically charged to the credit card on file. Additionally, as per hotel policy, cancellations made less than 72 hours before arrival, as well as no-shows, will result in a charge of one night’s rate plus tax, charged by the hotel, in addition to the $50 processing fee.

False Emails on Midwinter Housing

TASA has been informed that some partners have received emails from Convenue (Marketing@convenue.us) offering housing at several Austin hotels for Midwinter Conference. These emails are not coming from TASA. We have no partnership with the group sending these emails, nor are we offering a promotion code for Midwinter housing. You must book housing using the link on this webpage to reserve a room in one of the conference room blocks.

Beware of Pirate Housing

Midwinter Conference registrants are often contacted with offers for cut-rate housing. Room poachers want to convince you that the offer is made on TASA’s behalf, or that they are a viable alternative to going through our service provider. This is untrue.

If you are contacted by anyone asking if you need a room for the conference, please get as much information as you can and pass it on to our housing service provider, Convention Housing Management, at tasa@chmrooms.com.

More on Room Poachers

Room poaching is a practice carried out by third-party companies that act as travel agencies, wholesalers, or destination management companies to solicit registrants for room reservations. The poacher might inform you that the hotel room block is “sold out,” and that if you do not book with them immediately, you may not get a room. They often represent themselves as being affiliated with TASA or the conference by illegally using our logo. Sometimes they distribute forms or promotional materials that appear to be issued by TASA.

Room poachers make it more difficult for us to meet our room block commitments, exposing TASA to penalties and increased room rates for our events. Even worse, they often don’t deliver on promises. When registrants arrive, reservations are non-existent or the hotels are not conveniently located. Sometimes the rooms have been canceled and hefty cancellation fees have been placed on the customer’s credit card.

TASA Member Information Privacy Policy

TASA often receives reports of members receiving emails offering access to various TASA database information. These emails are not from TASA or a TASA-related company. TASA respects the privacy of our members. Any solicitation that members or other organizations may receive that offers to sell them a TASA conference email list or database providing other registrant information is a scam. It is our longstanding policy to never share or sell lists of our members’ email addresses with other organizations or businesses, even those with which TASA partners. Names and work phone numbers of conference attendees and physical mailing addresses of school districts are shared with exhibitors. However, we never share or sell lists of conference registrants with any other entity.

Veteran conference-goers: You may notice that we have fewer hotel blocks in San Antonio than when Midwinter was held in Austin. However, the blocks at each of the hotels below are much larger than the ones previously held in Austin. There should be plenty of rooms available!
